Secret Garden Gala at Sheraton Toronto: Corporate Event Decor by VintageBASH

Earlier this spring, the VintageBash team had the chance to support a unique corporate event: EVOLVE 2025 DKI, hosted at the Sheraton Toronto Airport Hotel. This annual event by DKI Canada brought together professionals from across the country for a multi-day conference, closing with a gala night themed “Secret Garden & Enchanted Forest.”

VintageBash was brought in to handle the floral and decor setup for the final evening’s celebration. Our team worked closely with the event planner to build an environment that reflected the theme—natural, moody, and full of layered details.

Designing a Moody, Enchanted Garden for a Corporate Gala

The goal was to design something that felt rich in texture and visually interesting, without becoming too theatrical. Since the gala was the final event of a full conference, the design also needed to feel easy to move through, with clear layout for dining, speeches, and entertainment.

The theme gave us a lot of room to work with. We focused on greenery-heavy arrangements, seasonal and silk florals in muted tones, and elements that helped soften the hotel ballroom setting.

Signature Decor Pieces That Brought the Theme to Life

The VintageBash setup included several of our most flexible and versatile pieces, styled in a way that helped tell a cohesive visual story throughout the venue:

  • Ashlyn Tall Gold Centerpieces were used for visual height on selected tables. These were wrapped in vines and paired with soft florals for contrast.
  • Charlotte Gold Trumpet Pilsner Vases held mid-height arrangements to break up sightlines while keeping the floral style consistent.
  • Lan Gold Candlestick Holders (Taper) added warmth to the table settings, especially once the overhead lighting was dimmed.
  • Glass Cylinder Vases with Floating Candles were grouped with moss or small blooms at the base to tie into the garden-inspired direction.
  • Faux Greenery Wall Backdrop was set near the entrance and styled with added vines and soft uplighting.
  • Queenie Small Gold Easel Stands displayed signage at key points around the space.

In total, we supported layout styling for the guest tables, stage area, bar, dessert station, and photo backdrop.

Lush Floral Styling with a Mix of Fresh & Silk Elements

Florals were designed to look full but not overdone. We mixed soft-toned silk blooms—such as cream roses, blush florals, and sage greenery—with fresh foliage and moss textures. This combination helped us stay within the event’s budget while still creating something detailed and layered.

Instead of building just one large installation, we approached the space as a whole—placing small visual markers across the venue to keep the theme consistent. This included touches like greenery wrapped around signage poles, trailing ivy on the podium, and vines added to smaller display areas.

Executing Corporate Event Decor with Function & Style in Mind

This type of event is different from a wedding in a few key ways. Load-in and strike windows are short, everything must stay safe for high foot traffic, and decor needs to balance both aesthetics and function. We kept all pieces freestanding or weighted, used a combination of fresh and permanent floral materials for timing, and adjusted placement to allow for camera sightlines during speeches.

The result was a well-organized space that reflected the theme, without overwhelming the room or interfering with the flow of the evening.
